Benton County Court Administrator
Minnesota does not use a separately elected District Clerk model for Benton County. The local office that performs clerk-of-court functions is Benton County Court Administration, headed by Court Administrator Sara Grife. The county Court Administration page describes its mission as providing justice through a system that assures equal access for fair and timely case resolution.
Court Administration handles daily office and support work for the court. Its responsibilities cover all case types in Benton County District Court, including family, small claims, criminal, civil, probate, juvenile, and traffic cases. It also collects court fees and fines and organizes the jury process. For public case records, this office is the fallback when MCRO does not show a document or when a certified copy is needed.

Benton Court Administrator Duties
The Court Administrator's office is the records and operations contact for Benton County District Court. It does not replace the judge, prosecutor, sheriff, or Recorder. It processes filings, maintains public case records within court access rules, handles fee and fine collection, and provides copies when the requested record can be released.
- Processes District Court filings in civil, criminal, family, probate, juvenile, traffic, and conciliation matters.
- Maintains court case records and helps with public access when MCRO is incomplete or certification is needed.
- Collects court fees, fines, and copy payments for District Court matters.
- Organizes and manages the local jury process.
- Routes certified and exemplified copy requests for records held by Benton County District Court.
The Minnesota adoption confidentiality statute source is one example of why the Court Administrator cannot release every court file.
That restriction supports the Benton County Court Administrator's role as a records gatekeeper, not just a copy counter.
Request Benton Certified Copies
MCRO search results and online case information are not certified court records. A certified copy must come from local court administration when the record is a Benton County District Court record. Payment for certified and exemplified copies can be made by credit card, check, or money order payable to District Court Administrator, according to the statewide copy-request instructions and the Benton fee schedule.
- Search MCRO first if the case is a public District Court case and the case number is unknown.
- Identify the case number, party names, document name, and whether the copy must be certified or exemplified.
- Contact Benton County Court Administration by phone, in person, or by mail if the document is not available online.
- Use the Court Administration mailing address and make required payment payable to District Court Administrator.
- Ask whether the record is on site, stored off site, restricted, or available the same day before relying on a deadline.
Note: The statewide copy-request page says many requests can be completed same day, but older off-site records may take longer.
Benton Court Records Request Fields
A strong records request gives Court Administration enough detail to identify the case and the document without guessing. MCRO can supply the case number for many public records. If the case does not appear online, names, case type, approximate filing date, and document type help the office route the request.
| Field | Required | Notes |
|---|---|---|
| Case number | Best practice | Use formats such as 05-CR, 05-CV, 05-FA, 05-PR, or 05-CO when known. |
| Party names | Yes | Needed when no case number is known. |
| Document type | Yes | Order, judgment, decree, complaint, register of actions, or other document. |
| Copy type | Yes | Plain, certified, or exemplified copy. |
| Delivery method | Yes | In person or mail, depending on office instructions and payment. |
Benton Court Administrator Fees
Benton County District Court fees are listed on the Minnesota Judicial Branch fee schedule filtered to Benton County. The same office handles copy payments and filing fees for District Court matters. Court Administrator vs Recorder
The Benton County Court Administrator and the Benton County Recorder serve different record systems. Court Administration is the source for District Court case records, certified court documents, court fines, jury administration, and older court files. The Recorder handles marriage licenses, marriage certificates, birth and death records, notary registration, and related recording functions.
| Office | Use for | Do not use for |
|---|---|---|
| Court Administrator | District Court case records, certified court copies, probate, divorce, criminal, traffic, civil, family, juvenile records | Marriage certificates and vital-record-style Recorder functions |
| Recorder's Office | Marriage licenses, Benton marriage certificates, birth/death records, notary registration | Divorce decrees, criminal cases, probate cases, traffic files, court judgments |
That split is important for Benton County marriage and divorce searches because marriage certificates come from the Recorder, while divorce decrees come from District Court.
Benton Records Online Channels
For Benton County District Court records, start with MCRO because it provides free public access to many Minnesota trial court records and documents. Documents filed before July 1, 2015 have limited online access, and family case documents are narrower than civil or criminal document access. Certified copies still route to Court Administration.
The clerk page images assigned to this file include federal court sources. Federal systems are separate from Benton County District Court. The U.S. District Court for the District of Minnesota, PACER, CM/ECF, and federal public-access tools may matter when a case is federal, but they do not hold Benton County divorce, probate, traffic, or state criminal trial files.
The U.S. District Court for the District of Minnesota source shows the federal court system that is separate from Benton County Court Administrator records.
That federal court source helps prevent mixing Benton County District Court records with unrelated federal case files.
The District of Minnesota PACER source explains federal public case access.
PACER is useful for federal Minnesota cases, while Benton County Court Administrator requests remain tied to state District Court.
The District of Minnesota CM/ECF source shows the filing system used by federal litigants.
CM/ECF is not the Benton County Court Administrator's filing system for state District Court matters.
The PACER Minnesota District Court lookup source identifies the federal court code for Minnesota federal cases.
That lookup source is a federal reference point, not a substitute for Benton County Court Administration.
The CourtListener source appears in the assigned image manifest as a federal court-search reference.
For Benton County state court records, Court Administration and MCRO remain the authoritative paths.
Benton Court Administration Limits
Court Administration is the right fallback for District Court records, but the office still has to apply Minnesota access rules. Some files may be public at the courthouse but not remotely available. Other files may be sealed, confidential, juvenile, adoption-related, restricted by court rule, or redacted before release. A staff member may also need time to retrieve an older file if it is stored off site.
That is why a request should be specific. Include the Benton County case number, party names, case type, document name, and copy type when possible. If the request involves a family case, juvenile matter, adoption record, commitment record, expunged case, or restricted identifier, expect the office to limit what can be disclosed. The fact that Court Administration keeps the file does not mean every page is open to every requester.
For time-sensitive matters, phone confirmation is useful before mailing payment or visiting the courthouse. The office can confirm whether the case belongs in Benton County, whether the request should go to the Recorder instead, and whether same-day service is realistic for the document type. It can also tell a requester when a public calendar entry is not enough to identify the exact file.
| Access issue | What to ask Court Administration |
|---|---|
| Older document not in MCRO | Ask whether the file is off site or outside broad online document coverage. |
| Certified copy needed | Ask for certification or exemplification before paying. |
| Restricted case category | Ask whether public access is allowed and whether a court order is required. |
| Marriage certificate request | Contact the Recorder instead of Court Administration. |
